Attendance¶
Open a session on the calendar and choose Attendance. The button appears when attendance is enabled and the session is within the last 7 days, or is in progress or completed.
The register¶
The header shows the session, time, package, audience (tags) and a Present / Expected counter. Members are grouped by status: Present, Absent and Pending.
Use the search box to find someone quickly.
Marking attendance¶
- ✓ marks present. Click again to return to Pending.
- ✕ marks absent. Click again to return to Pending.
- Bin removes a member from this session's register (with confirmation).
The register is built from the session's roster rules. The session is saved the first time you change anything.
Adding people¶
- Add Member: choose existing members (filtered by the session's package and tags by default). Added as Pending.
- Add Walk-in: for someone not registered yet. Enter first and last name. They are created with a temporary account, flagged Pending Registration, and marked Present straight away.
Finish registering walk-ins¶
Walk-ins must be fully registered before the session can be completed. Go to Members, filter by Pending Registration, open the person and complete their details and billing account. Saving through the editor clears the flag.
Completing a session¶
Choose Complete (top right of the register, or from the session card). It is available once the session start time has passed and no walk-in is still pending registration (walk-ins marked absent don't block).
On completion:
- attendance is locked and can no longer be edited,
- for usage-based packages, a charge is posted to each Present member's account at the package price,
- a ledger shortcut appears next to present members for Owners, Admins and Accountants.
This cannot be undone. Check the register before completing.
Cancelled sessions¶
Cancelling a session also locks its attendance. Reinstate it (before it ends) to edit again.
Tips¶
- Take attendance during the session and complete it soon after, so billing is prompt.
- Keep the mobile register open on a phone or tablet. It has a compact layout with a quick-add menu.
