Scheduling sessions

The Schedule page is your home screen: a calendar with Month, Week and Day views. Your chosen view is remembered in your browser. On small screens some views are hidden.

Past dates are greyed out and cannot be selected for new sessions.

Creating a session

Choose Add Session (or right-click a calendar cell; on phones, tap a cell).

Session details

  • Package (required): the package members must belong to. Select it with Select Package.
  • Session name (required) and description.

Schedule

  • Start date, time zone, start time, end time and duration (minutes, multiples of 15).

Recurrence

  • Does Not Repeat or Weekly.
  • For weekly, choose the weekdays and when it ends: Never, On date, or After N occurrences.

Attendance

  • Turn on Enable Attendance Tracking to get a register.
  • Attendance is mandatory if the package is usage-based, because charges come from it.
  • Roster:
    • Auto: everyone with the selected package, optionally narrowed by tags. Any matching tag qualifies.
    • Manual: only the members you pick (for example a private lesson). Package and tags are ignored.

Working with an occurrence

Click a session on the calendar to open its card:

Editing a recurring series

If a series has recorded history, Edit offers:

  • This occurrence: changes only that date (name, time, duration, capacity).
  • This and following: splits the series from that date. Earlier occurrences and their attendance and billing history are untouched, and a new series continues from the chosen date.

An end date cannot be set before a date that already has a recorded session.

Deleting

  • A series that has never been used is deleted outright.
  • With history, This occurrence removes just that date from the schedule, and This and following ends the series the day before.
  • Occurrences that have already been recorded cannot be deleted. Cancel them instead.
  • Delete is disabled for sessions that are not in Scheduled status.

How occurrences are stored

Recurring occurrences are generated from the series rule as you browse. A session is only saved to the database when something happens to it: attendance is taken, it is edited individually, completed or cancelled. This is why editing a series with no history simply updates the series.
