Importing members

Owners and Admins can bulk-add members from a CSV file. On the Members page (desktop), choose Import Members.

Steps

  1. Choose Download Template for a correctly formatted file.
  2. Fill it in and save as CSV (UTF-8).
  3. Select CSV (up to 20 MB). South Dune parses and validates every row.
  4. Review the summary: rows parsed, will import, duplicates, invalid. Use Show errors only to focus on problems.
  5. Choose Import N Member(s).

Nothing is saved until you confirm. Errors block only the affected rows.

Columns

Column Required Notes
FirstName ✅
LastName ✅
AccountCode ✅ Groups members onto an account
DateOfBirth Use yyyy-MM-dd, for example 2012-02-03
Email Member's own contact
Phone International format, +27821234567
Tags Separate with ; or ,
Packages Package names, separated with ; or ,
CorrespondenceName Bill-to name (new accounts)
AddressLine1, City, StateOrProvince, PostalCode Billing address (new accounts)
CountryCode Two-letter code, for example ZA
AccountEmail, AccountPhone Billing contacts (new accounts)

Column names are matched case-insensitively. Only the three required headers must be present.

How accounts are resolved

  • Account code already exists: the member is linked to it. Any account details in the row are ignored (you get a warning).
  • Account code is new: at least one account detail column must be filled on one of the rows with that code, otherwise the row errors. A new account is created.
  • Several rows share a code: they share one account. Put the account details on any one of them (usually the first row).

Duplicates

A row is skipped as a duplicate when the same first name, last name and date of birth already exist on that account, or appear earlier in the same file.

Packages

Names must match an active package in your organization (case-insensitive). Unknown names are ignored with a warning. If a package name contains a comma, wrap the whole cell in quotes.

Imported package assignments trigger billing exactly as they would when assigned manually. Prepaid packages will post charges. Check your packages before importing.

Tips

  • Use +27… phone numbers. Numbers starting with 0 fail validation.
  • Keep the account code consistent for siblings, for example FAM001.
  • Never put medical or health information in Tags.
  • Test with two or three rows first.
