A paddling session, step by step

Make room for regulars and drop-ins.

Keep the recurring group and the people who actually made it onto the water in the same session record.

Before the session

Set up the regular group

Create a weekly session, select its package and roster the members who belong in that group. Use tags to narrow the roster by a group label such as “Beginner” or “Junior”.

At the launch

Add a first-time paddler

Add a walk-in directly to the attendance register. They are marked present and flagged for full registration, so their member and billing details can be completed afterwards.

After the session

Close out attendance

Review present and absent paddlers, complete the session, and keep a record of who took part. Walk-ins need to be fully registered before completion.

When conditions change

Keep the schedule history understandable.

If a session has to be called off, cancel that occurrence in the schedule. If plans change again before it ends, reinstate it. Recorded attendance is locked when a session is cancelled, so the session status remains clear to the team.

For recurring groups, adjust just one date or split the series from a chosen date forward. Earlier occurrences and their attendance and billing history stay in place.

One-off changes don’t rewrite the series

Keep the standing weekly schedule while handling a particular session separately, with its own status and history.

Choose a charging approach

Match charges to the paddling programme.

Set billing per package, so different groups or programmes can use different charging rules.

calendar_month

Monthly group fees

Use a recurring package for a regular programme, with charges posted on its configured monthly trigger day.

confirmation_number

Prepaid sessions

Assign a prepaid package and post its full charge when it is assigned to a paddler.

Pay for attendance

With a usage-based package, completing the session charges only paddlers marked present.

If a family has several paddlers, each person keeps their own attendance and package history while sharing one billing account and statement.

Paddling school questions

How South Dune handles session-day details.

Can I add someone who wasn’t on the roster?

Yes. Add a walk-in from the attendance register. Complete their full member and account details before completing the session.

Does a cancelled session create an attendance charge?

Usage-based charges are created when a session is completed for members marked present. A cancelled session is not completed.

Can family members share a statement?

Yes. Link multiple paddlers to one billing account while keeping each paddler’s attendance record separate.

Keep the session admin in check

Spend less time reconciling paddling records.

Connect your paddlers, recurring sessions, attendance and billing with South Dune.
